Use a short consultation to understand the requested result, assess whether it fits your service and training, and agree what the appointment covers before reserving time.

Ask about the goal in plain language

What would the client like to change, and what do they want to keep? Request reference photos and ask what appeals to them in each one. Clarify that an inspiration photo is a conversation starter, not a guaranteed result.

Understand the starting point

Ask the client to describe their current hair routine and relevant previous services. Keep medical or technical suitability assessments within your professional training. If the request needs an in-person assessment, offer a consultation before confirming the full service.

Confirm the practical details

Record the service, proposed appointment length, location and preparation instructions you are qualified to give. Explain what is included, what could change the quote and how the client should contact you if their plans change.

Close the loop before the visit

Send a concise recap and ask the client to correct anything you misunderstood. Keep the agreed scope with the booking. After the appointment, record useful preferences for the next visit without collecting information you do not need.

A worked example

A client asks for a major colour change when booking a basic cut. Instead of silently extending the appointment, arrange a consultation and agree the appropriate service before reserving the final slot. This is an administrative example, not colour-treatment advice.
