Collect usable preparation files
Ask for the agreed backing tracks, references and project details ahead of time. Specify filenames and formats you can accept. Confirm whether your tools can open the supplied files before the client arrives.
Make arrival and time boundaries explicit
Share the location, access instructions, start/end time and included setup. Explain how extensions are handled and who can authorize extra work. Do not rely on a calendar label alone to explain the session scope.
Agree the handoff and feedback
State the deliverables, naming, expected timing and feedback method. Handle ownership, credits and permissions through the appropriate agreement. Keep the final files connected to the right client and explain their download access.
